How to Cancel a Meeting by Email: Clear Examples

Cancel a meeting with enough notice and a useful explanation. Examples distinguish a meeting that is no longer needed from one that must be arranged again.

Tell attendees clearly that the meeting is canceled, then explain whether there will be a replacement. “I can’t make it” may leave the group unsure whether they should still meet without you.

Cancel while you arrange a new date

Subject: Today’s project review is canceled

Hello Amira,

I’m sorry, but we need to cancel today’s 2 p.m. project review because the final draft isn’t ready for a useful discussion.

I’ll send the revised draft tomorrow and propose new review times once you have had a chance to read it. Please disregard the original meeting link.

Use a rescheduling request if you already know which new times to offer. If the date is still uncertain, commit to when you’ll update the attendees.

When only you can’t attend

If you’re one participant in a meeting that can proceed without you, decline your invitation instead of saying the meeting is canceled. Send the organizer any input they need and ask for notes if appropriate.

If you’re the organizer but another person can lead, agree on that arrangement before announcing it. Check whether the meeting link will work without you.

A cancellation doesn’t require a long explanation, but it should address any preparation people have already done. If someone has booked travel or arranged other work around the meeting, contact them directly to discuss the effect.
