An out-of-office reply should answer the questions a sender has after emailing you: when will you return, will you read the message meanwhile, and who can help if the issue cannot wait?
Keep the reply accurate. “I’ll respond as soon as possible” doesn’t say much if you won’t have email access for two weeks.
When you won’t check email
Subject: Out of office until 26 October
Thanks for your message. I’m away from 19 to 23 October and will return on Monday, 26 October. I won’t be checking email during that time.

Use a contact who has agreed to provide cover, and include a working address in your actual message. The example avoids publishing a fictional address that readers might copy accidentally.
When you have limited access
Subject: Limited email access this week
Thanks for your message. I’m attending a workshop through Thursday, 15 October, and will have limited access to email.
Replies may take longer than usual. If your message concerns Friday’s customer review, please contact the support team through our usual shared inbox.

Only offer an urgent route if someone is monitoring it. Don’t send people to another unattended inbox.
For a short absence
A half-day absence may not require an automatic reply if it would not change normal response expectations. If you do need one, keep it brief: “I’m away this afternoon and will return tomorrow morning. I’ll review your message then.”
Avoid adding travel details, personal addresses, or information that strangers don’t need. Automatic replies may go to people outside your regular contacts.
Check whether your email system supports separate internal and external messages. You might include detailed team cover internally and a general support route externally.
Before turning the reply on, verify the dates and remember to set an end time. For the arrangements behind the message, use a time-off request and a handover email.
